Terms & Conditions

Governing Law
These terms and conditions shall be governed and construed in accordance with the laws of England.

Data Protection

The Cotswold Chauffeur will only store, process and use all information regarding your personal details in accordance with the requirement of the Data Protection Act 1998.
Our commitment to you
We shall supply the service(s) specified in the Confirmation of Booking. 

We are insured for passenger travel. This insurance is for public liability and does not constitute travel insurance.

We do not accept any responsibilities for delays caused by adverse weather condition, strike action, acts of God or conflict or war or Force Majeure; any theft or damage to properties of the signatory of the contract or any other person travelling within the contract except where such theft or damage is caused by a direct action of an employee of The Cotswold Chauffeur.
Hire Price
We guarantee the cost of the vehicle hire at the price quoted providing that the original itinerary at the time of the booking has not been altered.

Minor itinerary adjustments will be accommodated free of charge. The company at its own discretion will determine the nature of any adjustments and alter the charges accordingly.

Waiting Time
The first 15 minutes of waiting on local journeys and the first 45 minutes of waiting on airport/long distance runs are free, (from time of landing). Thereafter, we charge waiting time by 15 minutes increments at the rate of £20 per hour.
Waiting time for planned events, (concerts, theatre, dinner engagements etc is £35 per hour)

The Cotswold Chauffeur
shall use all reasonable endeavours to get you to your destination on time, but shall not be liable for any loss due to delays caused by road or traffic conditions beyond its control on the journey. Under no circumstances shall The Cotswold Chauffeur be liable for any loss of profits, business or for any indirect or consequential loss whatever. The Cotswold Chauffeur aims at running a reliable service for you, however sometimes our vehicle(s) will be unable to arrive at time of booking due to reasons beyond our control. If the car is running late please call 07913025046 for an immediate update.

It is the responsibility of the customer, to allow plenty of flexibility for time sensitive journeys to take into account unforeseen circumstances.

If you are booking a journey that requires an onward connection, such as an, Airport, Seaport, Train or Bus departure, you should allow yourself extra time.
We recommend the following:

For an Airport departure, book your vehicle so you plan to arrive at the airport 2 hours minimum before your planned departure, (3hrs for transatlantic flights, unless checking in the night before). This should leave sufficient time to resolve the majority of challenges encountered. 

For Train and Bus departures, book your vehicle so you plan to arrive at the embarkation point 45 minutes before the planned departure.

All luggage is carried entirely at your own risk. Lost property is kept for a period of 4 weeks before being donated to charity.

The Cotswold Chauffeur is entitled to cancel all services and provide up to 100% of the refunds (within 7 Days of the original booking date), in the event of circumstances beyond the companies control. If a vehicle breaks down during the journey, The Cotswold Chauffeur will provide an alternative vehicle, within a practical period of time.

You shall indemnify The Cotswold Chauffeur against all losses, costs, damages and expenses arising from any act or omission of any passenger in your party.

Neither party excludes or limits its liability for death or personal injury caused by negligence, or for wilful default or fraudulent misrepresentation, or otherwise in any manner unenforceable by any applicable law.

Passenger conduct
The person arranging the booking shall be responsible for the behaviour of all passengers in the vehicle during the whole journey. A charge of £40.00 will be levied to cover the cleaning costs in
the unlikely event that the vehicle is soiled by any passenger.

Eating, drinking and smoking in the vehicle is not permitted. Exceptional circumstance for babies and medical reasons will be permitted with advance notice. All children should be restrained in a manner that befits current laws and regulations. Suitable child seats should wherever possible be supplied and fitted by the child's parent/guardian. These can be held by the driver in the event of a return journey booking. The Cotswold Chauffeur will not carry more passengers than its insurance or licensing allows.

Smoking is forbidden in the vehicles following the PCO regulations.

Illegal Material
The carrying or use of unregistered weapons or any illegal substances in our vehicles is strictly forbidden.

Use of Sub-contractors
We reserve the right to use reputable sub-contractors to complement our own service, as demand dictates.

Contract/Account Work
In respect of account work, The Cotswold Chauffeur works with clients, through regular review, to ensure that the services are delivered as per the requirements of the customer. Account work carried out will have VAT added at the applicable rate.

The client agrees to pay The Cotswold Chauffeur for all journeys provided on account. We shall invoice after the journey has taken place. Invoiced amounts shall be due and payable after 21 days from date of invoice.

Prices for services are quoted exclusive of VAT which shall be charged at the rate prevailing, at
the relevant tax point.

Should you wish to cancel your booking the following charges will apply:

Notice Period % of Original Quote:
  • Over 24 hours – No charge
  • 12-24 hours – 10%
  • 6 – 12 hours – 25%   
  • Under 6 hours – no refund

Notes and exceptions: -
  • Your credit/debit card will be charged 24 hours before pick up time     
  • The notice period for Long Distance journeys (over 40 miles) is 24 hours.       
  • Weddings and daily hire – notice period is two weeks (any deposit paid
  • is non- refundable)
We reserve the right to apply a minimum administration charge of GBP £5.00 for any refund

In the unlikely event that you cannot find your driver, please phone 07913025046 immediately and wait for advice – no refund will be given unless we have confirmed that the vehicle booked, or an alternative one is unavailable.

Use Restrictions
Reproduction, distribution, or republication of any information, materials, documents and services by any means, without the prior express written consent of The Cotswold Chauffeur, is strictly prohibited. 

Customer Service
For any issues arising; please in the first instance discuss with your chauffeur, who is empowered to resolve, if at all possible. In the unlikely instance of a satisfactory resolution not being met, please contact the management team here who will contact you within 24 hours.

In the unlikely event of a dispute arising, notice must be given within 21 days of the invoice date. In the event of no such notification being received by the company the customer shall accept the amount as being properly due and shall not be entitled to dispute the invoiced amount.

In the unlikely event of any remaining dispute, we will refer the matter to the Institute of Arbitrators.
